Administrative Assistant

Job Title: Administrative Assistant

Reports To: Chief Executive Officer (CEO) General Information: Full time, salaried; Non-Supervisory; Exempt Basic Purpose: The Administrative Assistant provides administrative/clerical support for the Chief Executive Officer of the Brisben Center.

Duties and Responsibilities:

• Organize meetings, including scheduling, sending reminders, and organizing related food services (i.e. catering) when necessary

• Write and edit e-mails, draft memos, and prepare communications on behalf of the CEO as directed by the CEO

• Maintain confidential, comprehensive and accurate records

• Perform minor accounting duties

• Answer and direct phone calls in a polite and professional manner

• Welcome those arriving to meet with the CEO and identify the purpose of their visit before directing them to the appropriate area

• Manage the CEO calendar, including making appointments and prioritizing the most sensitive issues in coordination with the CEO

• Research and prepare documents for Brisben Center board and other community meetings.

• Review, sort and prioritize mail

• File and maintain administrative organizational materials in electronic and paper formats

• Prepare for and assist with onboarding of new employees and interns in coordination with the Volunteer Coordinator and/or Bookkeeping – Accounting.

• Schedule employee training (i.e. CPR, etc.) and log into HR database (HRWeb)

• As needed and directed by the CEO, provide support for the Resource Development Officer and Data Manager with CRM (Donor Snap or similar database) including data entry and processing of contributions and donor tracking.

• Serve as back-up for data input into CRM and/or social outcomes database (i.e. Apricot)

• Perform other work-related duties as assigned.

Qualifications:

• Bachelor’s degree in business, human services or related field preferred.

• Experience with nonprofit administrative operations preferred.

• Minimum three years’ executive/administrative experience

• Mastery of Microsoft Office (Word, Excel, PowerPoint, Outlook…)

• Familiarity with CRM (i.e. Donor Snap) database

• Strong writing and editing skills

• Meticulous attention to detail

• Demonstrated organizational and time-management skills

• Strong interpersonal skills

• Able to work independently and as perform effectively with a team

• Maintains strict confidentiality

• Mastery of English language; written and spoken
